Position Overview: We are seeking a professional, organized, and customer-focused Front Office Coordinatorto serve as the first point of contact for our company. This role is responsible for creating a welcoming experience for visitors, managing front desk operations, coordinating office activities, and providing administrative support to ensure the office runs efficiently. The ideal candidate is highly organized, personable, detail-oriented, and capable of multitasking in a fast-paced environment.
Key Responsibilities: Greet and welcome visitors, clients, and vendors in a professional manner. Answer and direct incoming phone calls and emails. Manage office calendars, meeting schedules, and conference room reservations. Coordinate incoming and outgoing mail, packages, and deliveries. Maintain office supplies inventory and place orders as needed. Assist with onboarding paperwork and administrative support for new employees. Prepare documents, reports, and presentations as requested. Support company events, meetings, and team activities. Maintain accurate records and filing systems. Assist leadership and various departments with administrative projects. Ensure reception and common areas remain organized and professional. Perform other administrative duties as assigned.
Qualifications: High school diploma or equivalent required; associate or bachelor's degree preferred.1-3 years of receptionist, administrative, customer service, or office support experience preferred. Strong verbal and written communication skills. Excellent organizational and multitasking abilities. Professional demeanor and customer-service mindset. Proficiency in Microsoft Office Suite (Outlook, Word, Excel, and Power Point).Ability to work independently while maintaining attention to detail.
Preferred Skills: Experience using office management or scheduling software. Strong problem-solving abilities. Administrative and project coordination experience. Ability to prioritize tasks and meet deadlines. Experience supporting multiple departments or executives.
