Job Description:
We are seeking an Administrative Assistant to join our team. The candidate will support switchboard operations, claimant scheduling, and case development activities, and will coordinate communications among claimants, medical sources, and internal teams. This position may transition to a hybrid schedule after training.
Responsibilities:
Operate the switchboard to answer, direct, and transfer incoming calls, manage visitor check-ins, take messages, provide information, and maintain call records. Handle emergency calls, monitor alarms, manage paging systems, sort mail, and provide basic customer service. Locate specialized doctors near claimants to complete Disability Evaluator requested exams and schedule consultative examinations, including follow-up calls. Print consultative examination materials, assemble mailing packets for claimants, and send paperwork via fax to providers when needed. Respond to inquiries from claimants, vendors, and other sources regarding claim status and transportation support, including mailing bus passes. Notify claimants of appointments and outstanding paperwork, and contact doctors, hospitals, and attorney representatives for reports, authorizations, or status updates. Support claim adjudicators by contacting claimants, attorney representatives, medical sources, and other parties as directed by the supervisor. Track, disseminate, and complete daily assignments using a defined tracking system. Conduct case development activities that require analysis and judgment.
Required Skills & Qualifications:
Experience with high-volume phone systems, call routing, and visitor reception. Proficient scheduling and coordination skills with attention to detail in documentation and mailing. Clear written and verbal communication with claimants, vendors, and medical providers. Analytical judgment to support case development and resolve inquiries.
Preferred Skills:
Experience in healthcare, disability evaluation, or claims processing settings. Familiarity with faxing, mailing workflows, and basic alarm or paging systems. Why BCforward?
